I'm collaborating on a local non-profit board game association that will host periodic game nights.

Other than games, what do we "have" to buy?

Sleeves and dice trays? Anything else?

Do you really need sleeves and dice trays? Our club doesn't use sleeves and never thought about dice trays. Sure some games are heavily played, but they're still playable, even after 20+ years.

location that has good lighting, is clean, is comfortable
a wide array of games even when you KNOW what every regular is going to play because someone will inevitably want to bring a friend.
people well accustomed to a host/leader role
plans on how to control the group IE ways to get people gaming rather than staring at the games to choose from, setting the scheduled and how planned or free flowing you want to be.
clear plans/guidelines as far as food breaks or snacks

Name tag stickers and a marker to write on them can be helpful.

Pads and pencils for keeping score in some games may be necessary.

Um.... I didn't know that you could buy players in Indianapolis. I'll avoid going there!

Make sure it's clear that it's mandatory alternating gender rotation on the pole. I want to see some lumpy gamer dudes doing the pole. "Dance Mr. 18xx Fan, Dance!"

Make sure that the tables and chairs are good for gaming: not too small, not too big, with standard shapes, ...

Make sure it's clean and you have sponges to clean tables.

Emergency supply of toilet paper (seriously)
Spray & wipe + paper towels for cleaning tables before play
Supply of ziploc bags
Name badges, pens
Snacks are nice, tea & coffee are essential
Venue with daylight balanced lighting - amazing how this subtle difference helps
And (with polite deference to previous poster) NO ambient music

Large tables with smooth tops. If a venue or event is directed by someone who does not often play modern hobby games, they seem to think that any cheap folding table will work for games, or multiple small tables can be pulled together. They don't understand the need for large, level surfaces without cracks for pieces to fall through. Make sure that the tables are chosen by a true gamer.

Those $7 chairs at Costco? Pass. I had one of those chairs collapse under my weight before. I'm 150lbs...

I don't think there is much you "have to buy." It is cool that a non-profit is hosting gaming nights. Make sure that they are able to market the events. Players and games to play are definitely the two biggest elements.

So... 18XX fan means Fat? Or is it Phat? Or is it FatT? Or perhaps F@T?

If so, I may or may not be all of the above.

Im not cheap either.

Sponges? I probably don't want to play games where you play games.
