BGG.CON/BGG.Spring Registration FAQ

http://geekdo-images.com/images/d10-1.gif I purchased a ticket, but just found out I can't go and it's past the refund deadline. What do I do?
At a future date, we may have a thread listing tickets available for sale. Follow the directions in the appropriate waiting list to make your tickets available or to purchase unneeded tickets.

BGG.CON 2017 Waiting List - This thread is for Sellers and Buyers

[thread = TBD | BGG.Spring Waiting List for Tickets]

http://geekdo-images.com/images/d10-2.gif I sold my registration to someone - how do I edit the badge?
In the confirmation e-mail there is a link to the Badge Editor. Once you have made a transfer, please edit the badge with the new owner's name and forward the confirmation e-mail to that individual. Badge edits will only be accepted until approximately November 1 (for BGG.CON); approximately May 1 (for BGG.Spring). If your ticket transfers after that date, please instruct the new badge owner to bring your confirmation e-mail and a copy of the Payment receipt showing the payment for the badge to the Convention Check-In and the volunteers will direct you to a staff member who can edit the badge.

http://geekdo-images.com/images/d10-3.gif Can I share my registration/badge with a friend since I cannot come for the whole time?
No. Registrations are non-sharable. They are fully (not partially) transferable (See questions above) before the opening day of the convention.

http://geekdo-images.com/images/d10-4.gif Are there day-passes?
No. The registration fee is the same whether you come for one day or the whole convention.

BGG Events Check-In FAQ

http://geekdo-images.com/images/d10-1.gifHow long will it take to check in at BGG.CON/BGG.Spring?
The first day of the event between 10:00 a.m. and 1:00 p.m. is our largest load for Check-In and there is potential for waiting in line for at least an hour. Have patience, meet someone new in line and play a card game or two. After the initial rush, the wait should generally be somewhere between 0-15 minutes.

http://geekdo-images.com/images/d10-2.gifWhat if I accidentally forgot my registration e-mail?
Step 1. Check your e-mail (even the spam folder) - if you can show us the e-mail on your smartphone, you're good.
Step 2. If you can't find the e-mail, make sure you have your picture ID with you and the check-in attendants can direct you to someone who can help you verify your registration and clear you for check-in.

http://geekdo-images.com/images/d10-3.gifWhat if the name on my registration form doesn't match my Badge Name?
Please have a picture ID available.

http://geekdo-images.com/images/d10-4.gifWhat if I arrive when the check-in desk is closed?
Find someone in a GOLD BGG.CON Jersey. If you don't see someone within the first 5 minutes, please come to Convention Headquarters located in the Glasscock meeting room in the Leadership Wing of the Convention Hall.

Library FAQ

http://geekdo-images.com/images/d10-1.gif What do I do if I find a game piece/component?
Please take all missing game pieces to the Library Check-In Desk. If you happen to know which game the piece belongs to, please let the volunteer know, so they can search our library copy to make sure it is complete. Other missing personal items (water bottles, hoodies, keys, phones, etc.) should be turned in to the Check-In desk in the Convention Lobby.

http://geekdo-images.com/images/d10-2.gif Can I get a rules translation?
Yes, you may get rules translations for BGG Library games. Just ask one of the Library Volunteers. Rules Translations are NOT available for your personal games.

http://geekdo-images.com/images/d10-3.gif Can I donate games to the library?
Yes, you may donate a game to the library. It MUST be in NEW/Good condition and be playable (i.e. MUST have all pieces). And it MUST be a game the library does not already have in the collection. Just drop it by the Library Check-In desk and we'll add it to the library software and make it available for borrowing.

Volunteer FAQ

http://geekdo-images.com/images/d10-1.gif What if I can't make my volunteer shift for the library?
Once you sign up to volunteer, you are responsible for remembering when to show up for your shift. However, if needed, you may switch with another volunteer. Please check the volunteer sign-up page posted in the library to find someone willing to swap times and make the change on the sign-up page.

http://geekdo-images.com/images/d10-2.gif How do I become a member of Team Geek?
A post will be made on the front page of BoardGameGeek.com in February each year requesting recruits. Go to the link in the post and fill out the application. You will be notified of acceptance before tickets go on sale for each event.

Travel FAQ

http://geekdo-images.com/images/d10-1.gifIs there WIFI available?
For BGG.CON and BGG.Spring, the hotel has WIFI available in the guest rooms for a fee per day. There is no WIFI in the convention spaces. And because the convention spaces are on the lower level of the hotel, there is no guarantee of reliable cell phone service (Generally cell service was pretty good, but there were one or two phone carriers that had issues).

For BGG@SEA, there is no WIFI available unless you purchase it from the cruise line.

http://geekdo-images.com/images/d10-2.gifI just found out I can't be at BGG.CON/BGG.Spring and I have already reserved a room. What do I do?
Please post to the appropriate forum below indicating that you have a room available for TRANSFER. DO NOT CANCEL YOUR RESERVATION. When you worked out a transfer arrangement with someone, please contact the hotel with the name of the person for the room transfer.
BGG.CON 2017 Official Hyatt Regency Room Reservation Transfer List

http://geekdo-images.com/images/d10-3.gifI just found out I can't be at BGG@SEA and I have already reserved a cabin. What do I do?
Contact bggcon@boardgamegeek.com and tell us of the situation and we will try to work with you within the constraints of our contract with the cruise line. Please keep in mind there is the possibility of some portion of your payment being non-refundable due to cruise requirements.

http://geekdo-images.com/images/d10-4.gifI just called to reserve a room at the Hyatt Regency for BGG.CON/BGG.Spring and they said the rooms were sold out. What do I do?
Generally, attendees book their rooms early, and then about one or two months before the convention opens, we have a little bit of attrition due to work conflicts, etc. When that happens, we ask those with rooms to "TRANSFER" their rooms to another attendee. Subscribe to the appropriate forum below to find those possible open rooms.
BGG.CON 2017 Official Hyatt Regency Room Reservation Transfer List

If there does not ever appear to be a room available for transfer, you can look for a roommate in the forums listed below or if all else fails, there are some hotel options along the Grapevine Shuttle route.
BGG.CON 2017 Looking for a Roommate Thread

http://geekdo-images.com/images/d10-5.gifI have a room, but would love to split the cost. How do I do this?
Please post to the appropriate thread below and make arrangements. You will also want to make sure your roommates name is listed on the room information with the hotel so they can check-in to the room (in case you are not there yet).
BGG.CON 2017 Looking for a Roommate Thread

http://geekdo-images.com/images/d10-6.gifDo I NEED a car?
Only if you want to go somewhere outside of the Hyatt Regency that is not the airport, or somewhere not along the Grapevine Shuttle routes.

http://geekdo-images.com/images/d10-7.gifWhat do I do if I have a toll tag?
Please follow these instructions from the hotel:

“Upon entering the airport gates, you will want to enter through the TICKET ONLY lanes located at both the north and south entrance. You will receive a ticket time stamping your entrance onto airport grounds. The hotel will validate all parking tickets at the front desk or bell stand. For the attendees with toll tags, you will want to disable your Toll Tag temporarily for use prior to entering DFW facilities. You can do this via NTTA’s website and/or via the use of the mobile app NTTA.”

http://geekdo-images.com/images/sugar.gifFor all attendees:

SHOW your wristband to either the bell stand or to the front desk. Both locations have toll validation stamps. The bell stand generally has the stamp for up to 16 hours. If you need validation for more than 16 hours, make sure you let the attendant know, or you may need to see the hotel front desk.

http://geekdo-images.com/images/sugar.gifFor attendees with North Texas Toll Authority (NTTA) Toll Tags, or TxTag:
Either:

http://geekdo-images.com/images/die-black-1.gif Remove your toll tag from your windshield for the week.
-or-
http://geekdo-images.com/images/die-black-2.gif Go to the appropriate toll authority website to discontinue toll collection for the DFW Airport.
-or-
http://geekdo-images.com/images/die-black-3.gif Enter and exit through "TICKET ONLY" lanes.

http://geekdo-images.com/images/sugar.gifIf you are still billed:

http://geekdo-images.com/images/die-black-1.gif Contact the Hyatt Regency and be prepared to send in the toll bill and proof of convention registration and proof of attendance at the Convention (e-mail registration, copy of badge/wristband)

http://geekdo-images.com/images/die-black-2.gif Contact bggcon@boardgamegeek.com - we want to know.

http://geekdo-images.com/images/d10-8.gif I have some games for BGG.CON/BGG.Spring that I want to ship to my room/booth/home. How do I get/ship them? What is the receiving/delivery fee?

FedEx operates the hotel Business Services Center located on the convention level and receives all shipping to the hotel.
Regular hours are Mon-Thurs 7 a.m. - 6 p.m., and Friday 7 a.m. - 5 p.m.
For BGG.CON they have agreed to be open on Saturday and Sunday for shipping items home (hours TBA).

Per contract with hotel: Group to receive the following discounted pricing for use of our in-house FedEx service: $10 handing fee for incoming packages (self-pickup only at FedEx office located on the convention level). Additional $10 delivery fee to have received package delivered to booth, guestroom, or other location inside of the Hotel. Outgoing packages handling fee will be at the reduced rate of $10 per package. Additional fee of $5 if a FedEx box is required. (note: the $5 box fee will cover any size box, and is a significant reduction in price if large sized box is required)

Alternatively, exhibitors with a booth may contact Freeman Decorating for quotes on inbound/outbound material handling.

http://geekdo-images.com/images/d10-9.gif Can I stay somewhere else for BGG.CON/BGG.Spring?
BGG.CON has a room commitment contract with the Hyatt Regency that makes it possible for us to use the meeting space. So we strongly encourage you to stay at the Hyatt Regency, if there are rooms and/or roommates available. However, if the hotel is sold out, then we will try to make arrangements for an overflow hotel and post any additional options on each Events' Home Page.

Food FAQ

Can I bring outside alcoholic beverages to BGG.CON/BGG.Spring?
http://geekdo-images.com/images/ttr_city.gif Per the laws of the State of Texas NO OUTSIDE ALCOHOLIC BEVERAGES ARE PERMITTED in the convention meeting spaces unless they have been purchased directly from the hotel. BGG.CON Staff and Hotel Management reserve the right to remove the alcoholic beverages and/or the individual(s) from the meeting spaces.

BGG.CON/BGG.Spring Schedule FAQ

http://geekdo-images.com/images/d10-1.gifWhat if I arrive early?
We expect some of you to arrive the day before the convention opens. If you do arrive early, this is the convention Set-Up day. We welcome and encourage and invite help with various set-up activities (badge and bag stuffing, library straightening, and various other odd jobs). Please find someone with a radio attached to them and we can direct you to a location.

Otherwise, Pre-Gaming will be held in the following locations:

BGG.CON - Leadership Wing (Carter, Hobby, Jonnson, etc.) and the x25s on the 4th floor through the 10th floor (425, 525, 625, ..., 1025) will be set aside for gaming starting at 1 pm on Tuesday. We do ask that you remain in those areas and not "wander" the other meeting spaces. You will be put to work if you are wandering.

BGG.Spring - Leadership Wing will be available beginning Thursday at 1 pm - We do ask that you remain in those areas and not "wander" the other meeting spaces. You will be put to work if you are wandering.

http://geekdo-images.com/images/ttr_city.gif NO Gaming will be allowed in the other large ballrooms, the lobby area or in the Exhibitor Hall (NO EXCEPTIONS).

Another option for something to do - if you are new to the Dallas/Fort Worth area or new to Texas, there are many things to see and do. Feel free to spend your early time away from the hotel and see the sites. Click on this Dallas-Fort Worth Area Info link for more information.

http://geekdo-images.com/images/d10-2.gif Where is __________ room?
See one of the following wiki pages for location information and maps will be posted throughout the convention hall.

http://geekdo-images.com/images/d10-3.gif Why is my game/event not listed on the official schedule?
Most likely, your event is just you and some friends getting together to do something, so your event is "not officially sponsored by BGG" and therefore we provide no official staffing or resources to make it happen. The focus of BGG.CON/BGG.Spring/BGG@SEA is Open Gaming and as such we try to keep the Official events to a minimum.

Unofficial Events/Meet-ups can be scheduled through the BGG.CON Forum threads: BGG.CON Forums or BGG.Spring Forums or through the wiki sign-ups shown in the "Game Scheduling" section of each Event.

Children at BGG Events

http://geekdo-images.com/images/ttr_city.gifCan I bring my 8-year-old to any BGG Event?

BGG.CON - No children under the age of 12 will be allowed at BGG.CON in November. Children ages 12 - 18 must be supervised by a parent/legal guardian.

BGG.Spring - Our core philosophy is that BGG.Spring is a convention where gamers of all ages are welcome and have fun. It is not, however, a gaming convention designed specifically for young kids. Think Epcot Center instead of Magic Kingdom, or Tomorrowland instead of Toontown. So even if you don't have kids of your own, but you don't mind them being around, you should still have a great time.

We feel comfortable allowing kids 12 and up to roam around our reserved meeting space, as long as you're comfortable with it as well. We trust that you as their parents are the best qualified to make that decision. Children of all ages are welcome at BGG.Spring.

Children 12 and under are REQUIRED to be under the supervision of parents or legal guardians while in our reserved meeting space. And we request that children under 12 be removed from the reserved meeting space at 10:00 p.m. each night.

BGG@SEA - Our core philosophy is that BGG@SEA is a convention where gamers of all ages are welcome and have fun.

Children 12 and under are REQUIRED to be under the supervision of parents or legal guardians while in our reserved meeting space. And we request that children under 12 be removed from the reserved meeting space at 10:00 p.m. each night.

If you need babysitting or other kids' activities, if boardgames aren't enough, you are welcome to check with the cruise line to see what activities are available on board.

BGG@SEA FAQ

When should I make travel arrangements yet?
Personally, I'd wait until about 3 months before cruise date, if possible. Even though I'm confident this will be a success, there's always a chance only a handful will actually put their money where their mouth is and we may cancel it. If, however, initial response is as strong as I hope and expect it to be, I'll certainly let y'all know earlier that it's safe to make travel arrangements.

How can I bring my family of 5+?
Depending upon our contracted block of cabins, there may be some larger family suites available to be booked. There may also be a limited number of adjoining suites and staterooms that inter-connect to each other. Simply purchase two Stateroom Deposit items and in the order comments specify that you'd like your staterooms to be adjoining, and we'll see what we can do.

What games are being brought?
We'll start a GeekList as we get closer to cruising date - This was 2016's: BGG@SEA 2016 Library. Each attendee gets to specify any two additional games that we'll bring.

Will there be exhibitors for BGG@SEA? Prizes?
We've heard from some "in the biz" that they're interested in supporting this endeavor. Nothing official has been worked out yet though. We don't imagine we'll have traditional booths or anything, just hopefully some industry folks that want to join us in the fun. Maybe a sponsored on-board or at-port event or something.

Prizes... A traditional bring-a-game-take-a-game prize table provided by our convention attendees.

What about harassment/conduct/abuse/medical emergencies?
BGG.CON Events is dedicated to harassment-free convention experiences for everyone. Our anti-harassment policy can be found at BGG Events Harassment Policy

Well, as well as it can be applied anyway to BGG@SEA - we can only control the Conference Center space we have booked. We will revoke badges and deny access to that room as necessary but we have no control or concern for anything that happens anywhere else on the ship.

Any medical emergency should be reported to the cruise ship staff ASAP.

Exhibitor FAQ

http://geekdo-images.com/images/d10-1.gif How can my company become an Exhibitor?
Please email bggcon@boardgamegeek.com to be notified regarding availability of booth space at any BGG Event.

http://geekdo-images.com/images/d10-2.gif How can I demo my game?
Exhibitors and the up-and-coming designer are prohibited from the regular demonstration of any product in the open gaming spaces at BGG.CON. Exhibitors and new designers/publishers are encouraged to use the Designer/Publisher Speed Dating event, the Proto Alley by UnPub event, or the purchase of a booth in the exhibitor hall(s) to demo new/old products. If you would like to arrange for a booth to demo your game at BGG.CON/BGG.Spring, please e-mail bggcon@boardgamegeek.com to see if there is any availability.
